Tesco: changing the schedule

Tesco and Booker have many stores, and are also conducting food collections with charities across the country. This creates a complex schedule of daily collections with lots of different organisations and charities collecting. A master schedule of national collections is organised by a third-party charity, which means making changes is very difficult - and not possible for Olio to do alone, or quickly. 


How do we get collection slots, if charities aren't collecting?

Unfortunately, we do not have the ability to take over any collection days that are assigned to charities - even if they are not collecting. We have to send a message to Tesco which gets filtered to the store, asking the staff to get in touch with Tesco HQ and the third-party charity to request changes to the schedule. This message can take up to 7 days, and then required staff and other partners to make changes - which is difficult to predict. If the slots get released as the charity indeed isn't collecting, they will appear as soon as possible on the Volunteer Hub. 

Why do some Tesco stores have morning collections and others have evening ones?

Charities prefer to collect surplus food in the mornings, so that food can be easily distributed to their service users throughout the day. 

Whereas Olio prefer to collect in the evening, because we like collecting all food items (including all near 'use by' and chilled items) so that we can share as much as possible, and because we are able to share throughout the night thanks to our amazing community! 

Where Olio doesn't have all 7 collection days at a store, it's because there are other local charities collecting on the other days. In this scenario, Olio must have morning collections too, because their internal system can only display one collection time at the moment. 


Can you change our collection times to the evening?

Unfortunately Olio are not able to do this. The third-party scheduling charity sends us all our collection slots every week, to ensure we get the correct slots (if and when charities claim new ones - as they take priority). So if we do try to change collection times on the app, they will simply get changed back every week when we receive the slots to input into the app.  So please note, we can only change to evening collections when we have all 7 collection days at a store. We make this request to the third-party, and they are normally changed within 7 days.


How do I change collection times at my store?

If a store wants to move Olio’s collections from morning to evening (or vice versa), they must request it internally from Tesco HQ though their own internal channels. It is not possible for Olio to request this, as the store and third-party charity needs to confirm this.
